JOB DESCRIPTION:

The Membership Coordinator/P.R./Development Assistant, under the direction of the Development Director, is responsible for database management and the timely recording/tracking of dues and gifts, and acknowledgement letters. He/she coordinates the Membership Program, assists during special events and annual campaigns and is responsible, under the direction of the Executive Director and the Development Director, for developing and implementing a comprehensive publicity campaign that successfully publicizes the goals and accomplishments of the Santa Barbara Trust for Historic Preservation

Specific duties fall in the following areas:

I. Membership Program Coordination
II. Administrative Duties - Database Management/Gift Response
III. Public Relations and Media Promotion
IV. Special Events

Membership Program Coordination duties

1. Working with Development Director, develops and implements Membership recruitment and retention campaigns including special events and targeted solicitations.
2. Develops and maintains electronic database of members and member prospects. Prepares/sends correspondence to members and member prospects.
3. Working with the Development Director, develops membership recruitment campaigns and events that appeal to specific constituencies. Implements and staffs recruitment events targeted to these constituencies that build community participation in Trust membership program.
4. Coordinates and staffs recruitment tables at other Trust events to promote Trust membership program,
maintains inventory of materials needed.


Administrative Duties

1. Manages membership and donation database, including timely recording of gifts and dues. Designs and creates database reports for fundraising activity and generates Raiser's Edge reports as requested. Prints and mails gift receipts with appropriate letters, tracks gifts and membership status and updates electronic donor records on Raiser's Edge for Windows 6 software. Maintains current and accurate filing system of foundation/donor communication and donations.
2. Works with Development Director on Direct Mail and Annual Appeal campaigns and select fundraising communications.
3. Works with Development Director to schedule and coordinate commitee meetings, generate commitee agendas and minutes and attends meetings as requested.
4. Generates and submits monthly reports to the Development Director outlining progress made toward annual Membership and Public Relations goals.
5.Other duties as may be assigned from time to time.

Public Relations and Media Promotion

1. Working with the Executive Director and Department Directors, develops electronic and hardcopy files containing pertinent and current information on department activities for use in press releases and other promotional strategies.
2. Working with the Executive Director and Department Directors, writes, designs and produces appropriate publicity material, i.e. press releases, specific to each department and the entire organization. 3. Maintains inventory of media material for use in publicity and press packets. Maintains and updates Trust website, responsible for e-news, online calendars and promotional efforts.

Special Events

1. Working with the Development Director, designs and plans fundraising and community events that compellingly present the work of the Trust as a means to attract membership participation, major gifts, donations, public/private and foundation financial support.
2. Working with the Development Director and other Department Directors, supports events and performs requested event implementation tasks as needed.
3. Working with the Director of Education and other Department Directors, coordinates membership recruitment tables at Trust events, offering membership information and incentives.
4. Provides follow-up communication with event vendors and donors.

EDUCATION/QUALIFICATIONS:

Interest and/or degree in history or museums preferred; qualifications are generally gained through two or more years college education plus two years experience in a similar position, plus two years public contact experience. Must be available to work occasional nights, weekends and to work varying shifts as event schedule may dictate.

EXPERIENCE/ATTRIBUTES:

• Computor literate; prior experience with Raiser's Edge or similar database a plus
• Excellent written and oral communication skills
• Experience creating press releases, e-news, letters, grants and other written communication for the public
• Excellent interpersonal skills; sense of humor, outgoing,confident and professional manner
• Self-starter, with initiative and ability to work independently and as part of a team.
• Knowledge of event coordination, prior experience with special events
• Ability to work effectively with volunteers
• Ability to perform well under pressure and meet deadlines.

Weekend Museum Interpreter

Reports to: Office Manager, with support from Associate Director for Historical Resources
Classification: Regular, part-time (12 hours/week) weekends, holidays, and some evenings.

Scope of position: Weekend Interpreters are responsible for the visitor orientation and weekend operations of El Presidio de Santa Bárbara State Historic Park and the Casa de la Guerra Historic House Museum. In addition to facilitating the daily operations of these historic sites and the associated museum shops, Weekend Interpreters create informal education experiences for visitors.

DUTIES AND RESPONSIBILITIES

  • Daily park and museum operations, including monitoring and maintenance of El Presidio State Historic Park and Casa de la Guerra during hours of operation, and opening and closing both sites.
  •  Provide welcome and orientation to all visitors.
  • Ticket sales for all Museum events and venues.
  • Gift shop and membership sales.
  • Accurate cash handling and reconciliation.
  • Conduct interpretive and educational programs, demonstrations, and guided tours.
  • Assist Historical Resources Staff in creating new interpretive activities.
  • Work special events and event rentals, as assigned.
  • Attend interpretive and all-staff meetings monthly.
  • SBTHP is a diverse organization with a small staff and many activities; all staff members must be versatile and cooperative in carrying out a variety of responsibilities and duties as assigned by the Executive Director.

QUALIFICATIONS

High school graduation required. Experience in customer service and cash handling required. Interest in informal education, history, and/or museum studies. Excellent communication skills (verbal and written). Desire to work with museum visitors. High level of initiative and ability to work without constant supervision. Solid organizational and problem-solving skills. Undergraduate or graduate student, or career changer with an emphasis in history, education, museum studies, public history, and/or interpretation preferred. Verbal and/or written fluency in Spanish desirable.

Usual Schedule: Saturdays and Sundays, 10:00 AM – 5:00 PM, plus holidays and some evenings.
Wage: $8.00/hour
